Why Your Resume Gets Rejected by ATS (And How to Fix It)
If you've applied to dozens of virtual assistant jobs and heard nothing back, the problem might not be your experience — it might be that a human never saw your resume at all.
Around 75% of employers today use an Applicant Tracking System (ATS) to filter resumes before a recruiter opens them. For Filipino VAs applying to international clients, this software decides whether your application moves forward or disappears into a black hole.
What an ATS Actually Does
An ATS scans your resume, extracts the text, and scores it against the job description. It's looking for:
- Keyword matches (skills, tools, job titles)
- Clean, parseable formatting
- Relevant work history in the right sections
- Contact information it can read correctly
If your resume fails any of these checks, it can get filtered out — even if you're perfectly qualified.
Common Reasons Resumes Get Rejected
1. Fancy formatting that confuses the parser Tables, text boxes, columns, and graphics look great to human eyes but often turn into garbled text or missing sections when an ATS reads them. Multi-column resumes are a especially frequent culprit.
2. Missing keywords from the job description If a job post asks for "calendar management" and your resume only says "scheduling," some systems won't count that as a match. ATS software often does literal keyword matching, not conceptual understanding.
3. Non-standard section headers "My Journey" instead of "Work Experience," or "What I Bring" instead of "Skills," can confuse the parser into skipping that section entirely.
4. Saving as the wrong file type Some systems still struggle with certain PDF exports, especially ones created from design tools rather than word processors. A plain, well-structured PDF or DOCX is usually safest.
5. Contact info in headers or footers ATS software sometimes ignores headers and footers completely, meaning your name and email might never get extracted.
How to Fix It
- Use a single-column layout with standard section headers (Experience, Education, Skills)
- Mirror the exact language used in the job posting where it's true to your experience
- Avoid tables, text boxes, and embedded graphics for critical information
- Keep contact details in the main body of the document, not the header/footer
- Save your final resume as a text-based PDF, not an image-based one
The Fastest Way to Check
Manually guessing whether your resume will pass an ATS is time-consuming and unreliable. A dedicated ATS resume checker built for the Philippine VA market can scan your resume against a specific job description and show you exactly which keywords and formatting issues are holding you back — before you hit submit.
Getting past the ATS is step one. Once you're through, the real work of impressing a human recruiter begins — but that's a topic for another post.
